Tutoring T&Cs

1. Bookings

  1. Lesson timings will be agreed via email and added to the online calendar on the Student Portal. Reminders may be sent via email and SMS but are not guaranteed.
    1. The standard length of lessons is 1 hour. Alternative durations are available and will be charged pro rata based on the hourly rate.

2. Cancellations and rescheduling

  • If a student needs to cancel a scheduled lesson, contact must be made by email with as much notice as possible. It is also possible to submit a cancellation notice via the online Parent Portal (or Student Portal for adult students) until 24 hours prior to the lesson.
    • Cancellations made with at least 24 hours’ notice will result in no charge being made for the lesson.
    • If cancellation notice is submitted with less than 24 hours’ notice, this must be by email and 50% of the lesson charge will remain payable.
    • If a student needs to reschedule a lesson, contact should be made by email with as much notice as possible. It is not possible to reschedule directly on the Student Portal.
    • Rescheduling a lesson is subject to the availability of the tutor.
    • If a request to reschedule a lesson is made with less than 24 hours’ notice, clause 2.3 above will apply and 50% of the original lesson charge will remain payable.
    • It is at the tutor’s sole discretion to remove the 50% charge for late cancellation or rescheduling in the event of extenuating circumstances, which must be communicated at the time to be considered.

3. Cancellation by tutor

  • Should the tutor need to cancel a session for any reason, as much notice as possible will be given and in any event, no charge will be made for the session.

4. Punctuality

  • It is the student’s responsibility to be punctual to lessons. In the event of late arrival, the lesson will not necessarily extend but the full charge will remain payable.
    • For online lessons, it is the student’s responsibility to ensure any technology is working correctly as clause 4.1 will still apply should the lesson be delayed by technical issues on the student’s side.
    • In the event of technical issues on the tutor’s side delaying the start of a lesson, subject to availability the lesson will be extended. If this is not possible, either the charge will be reduced in accordance with the reduced duration of the session or a catch-up session will be arranged at a mutually convenient time, at no charge.

5. Conduct during lessons

  • The student is expected to actively participate during lessons, as failing to do so will reduce the eTectiveness of tutoring.
    • The tutor reserves the right to terminate a lesson if the student’s behaviour is inappropriate or disrespectful in any way. This is at the tutor’s absolute discretion, and should this occur, the lesson charge will remain payable in full.

6. Teaching

  • No guarantee is made of any specific outcome, or examination grade, that will be attained by a student because of tutoring. Outcomes achieved will depend on a wide range of factors, including the ability of a student, the eTort they make and a range of external influences.
    • Teaching will be customised for each student, considering a range of factors including:
      • The student’s abilities and interests
      • The student’s goals
      • Any specific strengths and weaknesses relating to the subject content
      • The tutor’s professional judgement regarding eTective teaching methodologies
      • Any preferences expressed by the student, to be taken into consideration by the tutor
    • Resources used within each session will be made available to students (and parents) following the session via the Student Portal.
    • A summary of each session, to include the content covered, next steps and any other relevant feedback, will be made available by email promptly following each session. This email will be sent to the parent in all instances, and the student if they are given access to the portal.
    • If desired, independent tasks can be set to be completed between sessions. Such requests should be made clear in advance.
      • Any work to be submitted ahead of the next session should be sent to the tutor at least 48 hours in advance, to allow time for it to be reviewed and the following session planned accordingly.
    • All resources shared during and following sessions are confidential and should not be shared with anybody else beyond the student and parent.

7. Payment

  • An initial 20-minute consultation before the first tutoring is arranged at no charge.
    • An hourly rate will be agreed prior to the first lesson.
    • The agreed hourly rate will be protected from any rises for a minimum of six months from the initial lesson, and in the event of any price rise a minimum of one month’s notice will be given.
    • An invoice will be issued by email automatically on the 1st of each month, detailing all lessons taken in the previous month. Payment for this invoice will be due by 8th of the same month. For example, lessons taken in January will be invoiced on 1st February and payment for this invoice will be due on 8th February.
    • Payment is accepted either by bank transfer or online via the Student Portal.
    • Cash payment is not accepted.
    • Invoice and payment dates do not change should they fall on weekends or public holidays.
    • Should an invoice remain unpaid 7 days after its due date, a reminder will be sent by email.
    • Should an invoice remain unpaid 14 days after its due date, a late payment fee will be payable, equating to 10% of the total of the unpaid invoice. This amount will be charged automatically.
    • It is possible to make a payment at any time. In this instance, an invoice will still automatically be issued on 1st of the month, but it will show all payments made and may already be marked as paid if all lessons for the previous month have already been paid for.
    • It is possible to submit card details to the Student Portal to automatically pay all invoices on the due date. This is not mandatory if you would prefer to pay manually.
  • These terms and conditions are subject to change at any time, and any student continuing to engage in tutoring will be deemed to agree to be bound by the current terms and conditions.
